How to overcome SharePoint Online 5000 item limit threshold? ›

Is SharePoint easy/hard to learn? As with so many other software and cloud platforms, SharePoint becomes more complicated the deeper you delve into its features and nuances. Learning the basics of its document management and storage is relatively straightforward for anyone familiar with how similar systems work.

Working with the List View Threshold limit. SharePoint has resource throttles and limits that govern the amount of data and throughput that can be managed. The List View Threshold is, by default, approximately 5000 items, and is set to allow users to work with large lists, but keep good performance.

By default, SharePoint has a threshold limit of 5000 items per view. To overcome this limit, you can increase the list view threshold limit in SharePoint Central Administration. To do this, open Central Administration > Application Management > Manage Web Applications.

The List View Threshold states that you cannot have more than 5,000 items (by default) returned in your list view. This does not mean you can only have 5,000 items in the list! It means that when a user clicks into a list, the number of items returned to the user should not exceed 5,000.

While SharePoint, a Microsoft product, is deeply integrated with the Microsoft 365 Suite and provides extensive customization capabilities, Google Drive is the Google equivalent of SharePoint and part of Google Workspace.

SharePoint promotes collaboration through features like co-authoring documents in real-time, discussion boards for team communication, shared calendars and tasks, alerts and notifications for updates, and integration with Microsoft Teams for seamless collaboration.

So we know SharePoint isn't obsolete, but on-premise versions are reaching their end of life. However, there is still confusion about whether Microsoft plans to retire SharePoint completely and replace it with Microsoft Teams or Microsoft Viva.

SharePoint Add-Ins will stop working for new tenants as of November 1st, 2024 and they will stop working for existing tenants and will be fully retired as of April 2nd, 2026. This applies to all environments including Government Clouds and Department of Defense.

If your site does get throttled, we recommend increasing the delay duration to 500 milliseconds initially, then to 1,000 if you still have the issue (although that is very unlikely to happen). To minimise throttling in SharePoint Online, we introduced an additional site definition configuration setting in SQList 5.4.

Go to Application Management -> Manage Web Applications. Pick the Web application for which you want to change the threshold value. In the ribbon above, click General Settings. That will bring down a menu, from which you should pick Resource Throttling.

The SharePoint 5000 item limit threshold applies to the limit of items that are displayed in per view(An example is shown in the figure below). SharePoint Online has a limit of 30 million files and folders per library(Sum of folders and files at each level), each file has a limit of 15GB uploaded to a library.

Using the “Get All” Option

The “Get All” option in Power Automate allows you to retrieve more than 5000 records. Here are the steps to use this option: Add the “List records” action to your flow. Configure the data source and specify the desired filter criteria.

The SharePoint Online Lookup Column Threshold is 12. Unfortunately this cannot be changed in SP Online to my knowledge, I believe this may be raised only in the on-premise version of SharePoint if I'm correct. However, I believe this particular threshold applies to a View, not the whole List.
